Subject: photos

Can you help me please? I need to know how long it takes
HIS to input photos for our listings? I've submitted some
photos for a new listing last friday. I broker loaded the
listing and sent the photos via snail mail. My clients are
asking me when the photos will be on the net....also, it's
misleading when the site for the public says "photo not
submitted". It should say "photo not received yet"...makes
it sound like the agents are the bad guys. Words can have
a siginifcant impact on the first impression.

| The photos are normally processed daily and sent to all
| the websites daily (nightly, automatically at midnight).
| So - a photo received today should be on the internet
| after midnight tonight. I'll check to see what the
| problem was with your photos if you'll give me the MLS#.
| I know that the college student who processes photos for
| us was in the hospital for a few days so other staff had
| to pick up the slack; so we may have been running a day
| or two later than normal.
|
| The official policy is that photos will be processed
| within 5 working days. You can speed the process up by
| scanning the photos yourself and sending us the digital
| image via email ... saves us a step.
|

Last time I used mls quick, it was vertical on the left
side of the page with several running down the left side of
the page. I used to be able to get in an horizontal layout
so that when I used MLS quick with TMK for example I was
not wasting space. I have tried clicking only the top two
frames in MLS quick but the software or my machine seems to
want only one or all four frames selected. Is this a
problem with the software or is it me?

How is our time frame for maps?

Finally, when is the best time to run update? I sometimes
run update in the morning and find that there is nothing
for the day but when I run it at the end of the day, I get
a number of status changes.

| Before changing the layout of the frames, try clicking the
| CLEAR ALL box. This will make it so you can freely
| choose which quadrants you want to show which formats.
| Remember that you cannot "share" quadrants without sharing
| all of them. For example, if you have a format going
| down the right side of the screen, you will be unable to
| also use the top two quadrants for another format. This
| will cause the four quadrants to be in use for all formats
| selected.
|
| Look for maps and Macintosh capability at the start of
| 2000.
|
| UPDATE will show everything that has happened during the
| number of days back you request. Early in the morning,
| the status changes will only show the expired listings
| (which expire at midnight) and any listings changed
| that day. As the day progresses, there will be more
| activity.

We have had several inquiries about incorrect contact information (phone
numbers, etc.) on Realtor.com

Realtor.com currently obtains the information for the white pages directory
on its site from the National Realtor Database System (NRDS) which we are
told is updated weekly. At the request of Realtor.com, HIS will soon begin
supplying a roster to Realtor.com on a daily basis which will provide data
that is, hopefully, more current.

It is, therefore, very important that you keep your contact information in
the HIS database current.

To check your data, click "go" on the main menu in WebREsearch and select
"roster". Choose "Members with contact information sorted by name" and
select your board affiliation. Click "Display Roster" on the main menu. Find
your name (it will display alphabetically) and verify that the information
we have is correct. If you need to make changes, please use the form found
at http://www.hawaiiinformation.com/Static/forms/subsinfo.htm (Change in
subscriber Information Form) or send an email with the changes to
service@HawaiiInformation.com

Re Updates:

There used to be a feature in Update that allowed you to go back to a
specific time on a specific day. I believe that this feature has been
unavailable for some time, unfortunately, and is not expected to be
available again (please correct me if I'm wrong).
This wonderful feature allowed updates to be done at any time of the day,
going back to exactly the time that you did your last update (or one minute
earlier, which was better).
Without this feature, every time you do an update you need to do the entire
overlapping day to make sure you don't miss anything.
Even if you do your update at 11:00 p.m. every day, a "today" update could
miss something that happened at 11:30 p.m.
If you want to just do one update per day, and if your desire is to minimize
the amount of duplicated information that you need to wade through, it is
therefore best to do the update as early as possible in the morning.
If you want to be as current as possible by a certain time of the day (at
the end of the day, for example), you should do your update at that time,
but you always need to do the whole (first) day AGAIN when you do your
update the following day.

Subject: The Life of a Photo

We've received several questions about how long it takes to get a photograph
into the HIS database. Here's the life of a photo at HIS:

First, the listing must be input into the database so you'll have an MLS
number to reference when you send the image. We're now receiving about 100
images/day, double what it was a year ago, and the images must have at least
MLS# attached, or we don't know where to put your images.

Second, we have to receive the image. Either you send us the actual
photograph and we scan the image, or you scan the image and send us the
digital image file that results from your scanning. Sometimes it will be
necessary to change the name of the file that results when you scan an
image.

Photos must be properly labeled to be processed!

Once we have received a digital image, we do the following:

1. Verify photos

Are the labels complete, are all the photos included in sequential order,
does the listor, office, taxkey, and MLS number match the on-line listing?
We cannot store photos without an MLS# and/or a taxkey.

2. Scan photos

3. Process Photos .. this is a series of steps that occur in the computer
room. Each photo is copied and resized.

4. Post Verify photos .. The actual photo is compared to the photo in
WebREsearch after processing, and any discrepancies are corrected by
rescanning the photo.

5. Dispose of photos .. if a self-addressed, stamped is received with the
photos, the photos are returned promptly. If photos are received without a
return envelope, they are kept for a short period of time and then
destroyed.

The current policy is to perform the above steps within five (5) working
days. We recognize that currency is important, and we strive to turn photos
around within a day or two. Photos are currently processed Monday,
Wednesday, and Friday.

All photos are filed by MLS#. If a property acquires a new MLS#, you must
request the photos be copied from the old MLS# to the new MLS#

Subject: Listor phone number

When broker loading my listing information, I enter my
cellular phone as my listor phone. However when I pull up
my listing through Webresearch or Hypertext, my cellular
number does not show up. The number that is "defaulted"
shows up. Is there any way to correct this? When I try to
change it through "entry" on hypertext, and I enter "save"
at the end, the message says "no new fields changed" HELP!

| Joan, the goal for the future is to not have any listor
| information in the actual listing, except the listor's
| ID, of course. This means that name changes, phone number
| changes, REALTOR type (RA vs. R) changes, etc. will be
| made in ONE spot - in the roster.

| No matter where the listing is displayed, the current
| information about the listor will appear! An added
| benefit of this is that the roster database fields will
| be printable with the listing. For example, you could
| request that the MLS Full print display, followed by the
| OFFICE ADDRESS and OFFICE FAX of the listor... even
| though these fields aren't in the listing!
|
| While we're working toward this end, WebREsearch has been
| modified to display the "preferred" phone from the
| roster database, rather than the information contained
| in the listing.
|
| If you want to have your cellular phone number appear with
| your listings, it'll have to be made your "preferred
| phone". Make changes of this type by using the
| Subscriber Change Form and/or the Internet Advertising
| Form.

I like Mikes idea about listing the email "subject" of the HIStalk V- # -
I have had the same idea on several occassions. Although I delete
unnecessary postings in HIStalk, I also have far too many to wade through to
find a particular subject in my archived HIStalk email.

If you can find a way to make this improvement, it will make these postings
much more valuable a tool to actually use.

The best solution would be to edit and download any pertinent tips to your hard
disk and rename them to indicate their subject matter, rather than leaving them
in your e-mail in box.

| me to alter the subject line. I can delete extraneous

Subject: Formats: Expanding the Codes

In REsearch (text), the TLC format is basically the "full mls" format with
the choices expanded. Because it is for the customer (Translate Listing for
Customer), the listor information is missing. The TLA (Translate Listing
for Agent) format includes all information.

If the user doesn't want the MLS FULL to be expanded, individual fields can
be expanded in a custom format. To identify individual fields to expand,
place "X " before the field name.

Here's an example:

Request: form res
Request: status a
Request: 3-7
Request: price from 400
Request: show mls,x includes,x utilities,x roads,remarks

Subject: HIS Public Site E-mail - Subject Line

We had a question about the subject line in e-mail that comes from the
H.I.S. public site.

The subject line reads:
20%Inquiry20%about20%MLS20%1234520% (H.I.S.20%REFERRAL)
or:
Inquiry about MLS 12345 (H.I.S. REFERRAL)


The subject line is programmatically created when someone clicks to send you
e-mail from the Hawaii Information Service public site. The user is viewing
a particular listing when they indicated their desire to send e-mail.
Because so frequently the user doesn't bother to indicate which listing they
are looking at, the MLS# is included in the Subject line.

Also, as a courtesy, we have parenthetically shown you which site generated
the interest. So, you know exactly what it is that was viewed. As you may
know, REALTOR.COM, for example, shows slightly different content and fewer
photos. It is our intent that by providing the additional information to
you, you'll be better prepared to answer the inquiry e-mailed to you.

Now, about the 20%... those subject lines are coming to you in HTML rather
than converting to something "pretty". "20%" is simply the code for a
space. Notice that it appears everywhere that a space would normally be -
between words.
